Privacy policy

Gate Board is provided by Building Integrity Group. This policy explains what personal information the service holds, why, and how it is protected. We follow the Australian Privacy Principles even where the small-business exemption might apply.

Two kinds of people

Builders who hold an account: we collect your name, business name, email, mobile and billing details (card details are held by Stripe, never by us).

Workers and visitors who induct at a gate: the builder running that site collects, through the service, the details a site induction needs — name, company, mobile, emergency contact, construction induction card number and a photo of it, ticket photos, the answers to the induction questions (including fitness-for-work and a yes/no medical declaration), the SWMS signed onto, and a drawn signature. The builder is the collector of that information and decides how it is used; we host it for them.

Why it is collected

To run site inductions, SWMS sign-on and safety records as required of principal contractors and employers under occupational health and safety law. Nothing collected at a gate is used for marketing, sold, or shared with anyone except the builder whose site it is and the people that builder authorises.

Returning workers

A worker’s stored details are matched by mobile number so they do not retype them on their next site with the same builder. Details never cross from one builder’s account to another’s.

Where it lives and how it is protected

Data is stored on Cloudflare infrastructure in the Oceania region, encrypted in transit and at rest. Access to a builder’s records requires a sign-in link sent to the builder’s email; there are no shared passwords. Our own staff access records only to support you or to keep the service running.

How long it is kept

While the builder’s account is active, and for 90 days after it closes, then deleted. Builders may need to keep safety records for longer under their own obligations and can export them at any time.

Your rights

Workers can ask the builder who inducted them, or us, to see or correct their details. Builders can see and correct everything in their account. Email stuart@buildingintegrity.co and we will respond within 10 business days.

Emails

Builders get transactional email from the service (sign-in links, stop alerts, billing). Workers are not emailed by the service. We do not send marketing email to anyone who has not asked for it.

Data breaches

If a breach is likely to cause serious harm we will notify affected builders and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires, and help builders notify their workers.

Third parties we rely on

Cloudflare (hosting), Stripe (payments) and Resend (email delivery). Each holds only what it needs for its job.
